Overview on managing user access to document types.

Document access management can be controlled on an individual user level by visiting Settings > User Admin.

Limiting document types when inviting a new user

When inviting a new user you'll see a new Document Access section. This document access setting applies to viewing and downloading documents.

To limit the types of documents a user can upload, configure Document Types in the Settings section.

You'll be presented with three options:

  • No Access: Users with this setting will not see any documents across the platform. They will also not be notified of document uploads as they will not have access to documents.

  • All Documents: Users with this setting will see all documents across the platform. If new document types are added in the future, they will also have access to those. Note: This still follows your existing integration restrictions (i.e. for CargoWise customers we only display documents marked as published).

  • Select Documents: Users with this setting will see all documents matching the selected type(s) across the platform.

Limiting document types for existing users

Existing users can be updated to have new document access permissions. To edit a user, first click on the pencil icon next to their name.

Once on the edit screen, you'll see the option to select from the same Document Access options as with a new user.

Defaults for Users Created Prior to Release

For users which were created prior to the release of document access management, we've configured their default setting to match what they previously had access to (see below). These settings can be changed at any time unless otherwise stated below.

  • User Administrator: All Documents

    • This cannot be changed as User Administrators always have access to all documents.

  • Operator: All Documents

    • If an Operator also has permissions to invite customers, they will be restricted to All Document access in order to better manage permissions for those users they invite.

  • Customer: All Documents

  • External User: No Access

Other considerations

  • Document access management applies only to viewing and downloading documents. To limit the types of documents a user can upload, configure Document Types in the Settings section.

  • [CW1] Documents uploaded by an External User will be uploaded CargoWise as an unpublished document. Within Logixboard only the External User who uploaded the document will see the document. In order to make the document visible to other users, the document must be marked as published within CargoWise.
