Create bookings in Logixboard as an agent/external party

With the premium Bookings module, users can enable agents and external parties to create bookings directly through their digital platform.

User Admins can enable an agent to create a booking through the User Admin tab in the Settings module in just a few steps:

  1. Add your agent or third party to the platform

  2. Click Profile Name -> Settings -> User Admin -> Invite new user

  3. Select External User user type (Agent) and click next

  4. After adding their email address, you can send them an invite to the platform

🌟 Bookings is a premium feature. If you wish to activate it, please reach out to your CSM or Account Manager.


Agent Booking Requests

After entering Logixboard, the agent can create a booking request and send it out to you in a few steps:

  1. Click the Create New Booking button on the Bookings page

  2. Fill out the mandatory information on the Create Booking Request form

    1. Note: The Requested By field represents the customer related to the booking

  3. Click the Save button in the top-right corner to save the request

  4. Click the Create Option button to add more options for the LSP to review

πŸ’‘ The rate will not be visible to the Customer user type until the booking is reviewed by the LSP.

Documents

The agent can upload documents by clicking the Upload Documents button on the Booking Details page at any point before the booking is confirmed. Some examples of documents an agent can upload are packing lists and commercial invoices.


Managing Booking Requests From Agents

As an Admin or Operator user type, you will see the new booking on the Bookings page under New Request. Manage these requests in a few steps:

  1. Verify that all fields are correct on the booking request form. Click Save to continue after reviewing the booking request.

  2. Decide if the booking request needs approval by your customer. Agents cannot request approvals for bookings. Agents cannot approve bookings.

    *Note: Approvals are only ever sent to your customer

  3. Once approved, choose which options to show your customers. Agent-submitted options will be hidden by default, so you can review and decide which options you want your clients to see.

  4. Choose a rate option submitted by the agent. You can also edit the agent option and add a margin. If you send the option to your customer, they will only see the Final Rate with the margin you added, not the initial rate the agent sent out.

    *Note: The agent will not be able to see the rate with the margin

  5. When you are ready to send options, click the Request Approval button

  6. After you send out the request for approval, the client will receive an email with a direct link to the booking. From there, they can choose and approve the options provided.

  7. After reviewing, your client can click Select and Approve

  8. The booking status changes to Approved, and the selected option is highlighted

  9. Admin and operators linked to the organization will receive an email notification confirming the booking has been approved

  10. When you are ready to move the booking forward with the carrier, click Confirm Booking

  11. Confirm the booking option

    1. Complete the prompt for which branch in CargoWise this booking should be saved to, indicating where the shipment file should be created

    2. Upon clicking the confirm button, the approved booking will be written to CargoWise as a shipment file

  12. The status will change to Confirmed, and a link to the shipment file will appear in the Shipment Details card


Logixboard Bookings and CargoWise One

Bookings will sync back to CargoWise One as a shipment file once the admin or operator has confirmed the booking. Any documents uploaded can be found in the eDocs once the booking is confirmed.


Notifications

Enable notifications for bookings so you never miss an update on your active bookings.

  1. Click through Settings > Notifications

  2. Enable notifications for all bookings when the status changes:

    • New booking requested

    • Booking approved

    • New booking options requested

    • Booking option confirmed

    • On hold

    • Resumed

    • Cancelled

    • Deleted

    • Cargo at risk of missing planned departure

Notifications will apply to all bookings in the platform for users who have access to the organization linked to the booking.
