About this curriculum
Helm puts your shipments right inside Outlook. This course takes you from your first look at Helm to working your whole inbox without switching to the TMS. Each module is short, hands-on, and built around a task you already do every day.
By the end of this, you will be able to:
File docs from your inbox in about 10 seconds
Update a route within your inbox
See what your team has already done on an email
Split a combined PDF and file every doc
Answer "where's my shipment?"
Course Content
1. Your inbox is costing you hours you don’t see.
Filing docs, updating dates, and answering “where’s my shipment?” take a minute here and 30 seconds there. Spread across 80 emails a day, that adds up to most of an hour, every day. By the end, you’ll be able to:
See exactly how many minutes a day, hours a week, and hours a month Helm saves you, based on your own inbox
Know which of your daily tasks gives you the most time back, so you start there
Insight: In our customers' experience, filing a doc takes about 60 seconds in the TMS and about 10 seconds in Helm. An operator with 80 emails a day saves around 47 minutes a day, or about 16 hours a month. How much time will you save?
2. Explore Helm as your control center.
It reads every email you open, finds the shipment, and puts its dates, docs, contacts, and tracking right next to your inbox. By the end, you’ll be able to:
Open Helm on any email and keep it open all day
Name the four tasks you can finish without leaving Outlook: filing docs, splitting PDFs, updating dates, and answering status questions
Know where each one lives in the Helm panel
Insight: Outlook closes add-ins every time you click a new email. Pin Helm once each morning and it follows you from email to email all day.
3. Upload a doc in 10 seconds.
Check the box, confirm the type, click Upload. The doc lands on the shipment, and you never have to come back to that email. By the end, you’ll be able to:
File any attachment to the right shipment in about 10 seconds
File one doc to several shipments at once
Save the email itself to the shipment as a record of the conversation
Find what you filed in the TMS and confirm it’s there
4. Break up a doc packet and upload docs quickly.
When the shipper sends the invoice, packing list, and BL as one file, split out the pages, give each one its type, and upload them all together. By the end, you’ll be able to:
Pull any page or set of pages out of a combined PDF
Rename each doc to your company’s standard and give it the right type
Upload every split doc to one or more shipments in a single click
Insight: Split docs land in the same place as regular uploads. Your team finds them exactly where they expect, no matter how the shipper sent them.
5. Update a route in 3-clicks.
When the carrier moves a sailing, change the date on the route leg once. The consol and every shipment linked to it update together. By the end, you’ll be able to:
Update ETD, ATD, ETA, and ATA from pickup through delivery, right from the carrier email
Update a consol and all of its shipments with a single edit
Confirm the new date in the TMS within seconds of saving
Insight: In our timings, a route update takes about 60 seconds switching from your inbox and finding the shipment in the TMS, while it takes about 10 seconds in Helm.
6. Shared inbox, short notes, and shipment answers.
Most shipment questions in your inbox can be answered from the Helm panel. By the end, you’ll be able to answer these from the panel alone:
Where is my shipment?
Has anyone handled this email yet?
Who is the consignee?
7. Most troubleshooting have a 10-second fix.
Most shipment questions in your inbox can be answered from the Helm panel. By the end, you’ll be able to:
“Where is it?” Status, route dates, and the carrier’s tracking page, one click away.
“Can you send me the BL?” Find the doc on file and attach it to your reply.
“Who do I talk to?” Every contact on the shipment, with an email draft that already has the reference in the subject line.
“Did someone already handle this?” Who worked the thread and what they did, so you don’t double up.
