User Admin & Managing Invitations

User Management in Logixboard can be accomplished via the User Admin settings menu. This menu is accessible only to users with the appropriate permissions, including users with the role 'User Administrator' or role 'Operator' with the 'Invite Customers' permission.

User Management functions in Logixboard include:

  • Creating and managing new user invitations

  • Modifying permissions and Organization associations for existing users

  • Removing existing users

  • Exporting user lists

Note: Roles for existing users cannot be modified at this time; to change a user's role, delete and then re-add the user with the appropriate role and permissions.

The User Admin tab is available under the Settings menu.

Invitations

New users are invited to the platform, and users must accept their invite before they can access Logixboard. For security reasons, invitations to the platform are valid for 30 days, after which point the invitation link will expire. Expired invitations can be resent with a fresh link after 30d.

The Manage Account Invitations card shows all invited users, along with details such as:

  • Email

  • Created On Date

  • Expiration Date

  • Status

  • Role

  • Organizations

This card also allows you to:

  • Invite new users

  • Download the list of active invitations to CSV

  • Resend or remove invitations

Once a new user accepts their invite, they will automatically be moved from the Manage Account Invitations card to the User Management card.

Inviting a New User

The Invite New User button will open the invitation wizard, walking you through each step of the process.

When inviting a new user, the user must be assigned a role. These include:

  • Customer: Your client users, with access only to the assigned organizations.

  • External User: An external supplier, vendor, or similar user who can create and access Bookings. These users cannot be assigned to organizations, and will only see the Bookings they themselves create.

  • Operator: Your internal users, with access to an aggregate view of many or all organizations you serve. Operators can also be granted permissions to invite new Customer users.

    If you use CargoWise, you can also use the Staff or Branch assignments in CargoWise to automatically sync Organization access to Logixboard, thus allowing you to centralize control within CargoWise.

  • User Administrator: User Administrators are Logixboard 'super users' with access to all Organizations, modules, and configuration controls within the platform. These users can make global changes that impact all other users.

For Customer and Operator roles, you can also specify whether to grant access to the Accounting module, if enabled. This allows you to grant user-level access to Invoice data.

At the end of the Invite New User wizard, you will be presented the option to either:

  • Copy invitation link, which will not automatically send an email, but will instead allow you to provide the copied invitation link to your client using your own email service and custom email templates, or

  • Send invitation email directly through Logixboard, which will immediately send a fully branded introductory invite email with your company name, logo, and information.

Managing Existing Users

Once a new user accepts their invite, they will automatically be moved from the Manage Account Invitations card to the User Management card. The User Management card shows all current users, along with details such as:

  • Username

  • Email

  • Role

  • Created At

  • Organizations

This card also allows you to:

  • Modify permissions and Organization associations for existing users

  • Remove existing users

  • Download the list of users to CSV
