The Accounting module contains all of your invoices. Users can also find individual invoices linked to the specific shipment and a summarized view of all invoices on the Dashboard.

Access the accounting tab from the main navigation menu, the dashboard, or when looking at the Detailed Shipment View. Invoice details are pulled directly in from your CW1 accounting module.


Accounting Tab

The accounting table is customizable, and filters can be applied including the following:

  • Filter by specific organization

  • Filter by unpaid or paid invoices

  • View by one or multiple currencies

The total summary is only visible at the bottom of the table if one currency is selected.

Download and export invoices by CSV by selecting the arrow icon in the top-right corner.


Detailed Shipment View

Users can access the Invoices tab on the left-hand side of the detailed shipment card. All invoices associated with a given shipment will be visible here.

Users can also check the Documents tab to verify which invoices are published to a customer in a few steps:

  1. Click the filter option to filter the invoice list by individual columns

  2. Sort by different payment statuses including unpaid or partially paid

  3. See outstanding amounts in the currency billed

  4. Click on an invoice to see the individual charges

The invoice table can be downloaded to a CSV, or the invoices can be downloaded as PDFs.


Dashboard Summary

Scroll to the bottom of the dashboard to find a table of all your invoices. They will display in date order based on the latest transaction date. Filters can be applied to this list or click through to the accounting tab.

πŸ’‘ Operator and admin users will see Accounts Receivable in the table header, whereas customer users will see Accounts Payable.


Analytics

For organizations with the accounting module enabled, the analytics page will display a table with a summary of all transactions over time.

πŸ’‘ Operator and admin users will see Total Revenue by Mode over Time in the table header, whereas customer users will see Total Cost by Mode over Time.

Accounting Access for Users

πŸ’‘ User admins can control accounting module access for new and existing customer or operator user types.

By default, the accounting module is turned on for existing users and will need to be switched off for any users who should not have that visibility.


Turning the Accounting Module Off

If the Accounting permission is not provided to a user then they will have:

  • No Accounting module access (tab in the top navigation bar)

  • No Accounting table on the dashboard

  • No Total Revenue by Mode over Time chart in Analytics

  • No invoices tab on the shipment details page

Users will still be able to see their uploaded invoice documents on the Documents tab on the shipment details page to ensure seamless payments.
