In order to create strong records for compliance operators will create a paper trail of documentation. In this article we'll show you how to upload documents using the Companion, ensuring all team members can efficiently complete the task.

Common Workflow

In most situations you'll utilize the Companion to upload documents to previously created Shipments or Declarations. In this situation, most operators will:

  1. Click on an email

  2. Use a shipment the Companion automatically found or search for a different one

  3. Go to uploads

  4. Upload the documents that need to be saved.

How to Upload Documents

1) Open Clockwork

Ensure the Companion is open on the right. If it's hidden, make sure you have an email selected. If you need help opening the Companion, click here.

2) Identify Documents to Upload

In the email, identify the files you want to upload, and ensure the shipment you want to upload files for is visible in the Companion. In this case the Certificate of Origin. House Bill of Lading, and Packing List. If the correct shipment isn't visible, check out this guide to get to the right shipment.

3) Navigate to Upload

Click on the upload feature in Clockwork. This can be found when viewing the Shipment or from the Shipment search screen.

4) Select Email Correspondence

Identify the email icon (No. icon) to upload the actual email correspondence. Check that box.

5) Choose Attachments

Click on the paperclip icon to view attachments. Select 'All' to upload all attachments or choose specific ones to upload.

6) Specify Document Types

After selecting the documents, specify the type of each document.

7) Choose Upload Destination

In addition to the Shipment you're viewing you can also attach the selected documents to other Shipments, Declarations, or Consolidations by using the selector at the bottom of the Companion.

8) Complete the Upload

Confirm your selections and click 'Upload' to upload the three documents. The documents will automatically be saved in your eDocs folder for that file.

Considerations

  • Ensure that all documents are correctly selected before uploading to avoid errors. If a mistake is made you can edit it within CargoWise.

  • The uploaded document will be attributed to your Clockwork configured Staff Assignment. Read more about Staff Assignments.
