Create strong audit trails to meet compliance requirements with Helm document management. In this article you'll learn how to upload documents attached to emails directly from your inbox, simplifying repetitive tasks and reducing your context switching.
Saving documents to an existing CargoWise file
In most cases you'll utilize Helm to upload documents to a previously created Shipment or other CargoWise file. To save a document while creating a new file, see Creating a new file from an email.
1. Open Helm
Ensure Helm is open. First click on an email, then open Helm using the Apps add-in menu. Learn more about opening Helm.
2. Select Documents to Upload
Helm will automatically detect the CargoWise file related to the email conversation. If it did not or you'd like to select a different file, see how to get to the right shipment.
Select the Upload tab under the file ID to see a full list of documents available for upload.
You will also see one additional file listed with an envelope icon next to the name. That is the email itself which can be uploaded to CargoWise to keep a record of the conversation.
Check the box next to the documents you would like to upload.
3. Verify Details
Helm automatically detects and selects the document type for a wide variety of documents. Learn more about automatic document categorization here.
You can select a different document type and alter the document name directly in line.
4. Select Upload Destination
Documents can be uploaded to one or multiple files at once. By default Helm selects the CargoWise file you are viewing. Select additional destination files using the dropdown at the bottom of the pane.
5. Completing the Upload
Once you've made your selections you can click Upload to finalize saving to CargoWise. You'll find the selected documents in the eDocs folder for the selected file(s).
The uploaded document will show your Helm configured Staff Assignment as the user who uploaded it into CargoWise. Read more about Staff Assignments.
If you made any errors in the process, edits can be made directly within CargoWise.
