Creating and managing bookings for different user levels

The Bookings product allows users to request bookings, view and approve route options and quotes from their LSP, and track bookings before they become active shipments.

LSPs can perform a variety of functions throughout the process, including:

  • Providing quotes and route options for customers to review

  • Sending email notifications to keep all users informed every step of the way

  • Syncing confirmed bookings back to an organization's CargoWise instance

  • Providing customers with visibility into all bookings based on real-time CargoWise data

🌟 This is a premium feature. If you wish to activate it, please reach out to your CSM or Account Manager.

Users with Bookings enabled can access the feature in a couple of ways:

  1. Select the Bookings tab in the main navigation menu

  2. Find the Bookings card on the Dashboard


Bookings Card on Dashboard

The Bookings card on the Dashboard provides a snapshot view of your bookings with a breakdown by status:

  • New Request

  • Open Request

  • Pending Approval

  • Approved

  • Confirmed

  • On Hold

From this card, you can take one of several actions:

  • Click Create Booking to open the Create Booking Request page

  • Click the arrow to open the Bookings page

  • Select a status card to open the Bookings page with a table filtered for the given status

    • Ex: Click the Approved card to open the Bookings page with a table displaying only approved bookings


Bookings Page

The Bookings page contains key information about your organization's bookings, allowing for easy viewing and management.

At the top of the page, see a snapshot view of your bookings divided by status.

As a booking progresses through its journey, it'll fall into one of the following categories:

  • New Request

  • Open Request

  • Pending Approval

  • Approved

  • Confirmed

  • On Hold

  • Cancelled

Select one of the status cards to load a table view containing only bookings of that given status.

In the table view, see a list of your bookings and their associated details. From here, there are a few actions you can take:

  • Select the vertical ellipsis in the Actions column to choose an action for a given booking, including:

    • Put on hold

    • Cancel

    • Delete

    • Create a copy

    • Dismiss all updates

  • Click into the column headers to sort or filter the data in the table

    • Click the Clear All Filters button to remove all filters and restore the default view

  • Click the Create Booking button to open the Create Booking Request page

  • Click the Bulk Create Bookings button to open the [LINK: bulk upload] window

  • Customize which table columns are enabled by selecting the table icon. Select fields from a variety of categories, including:

    • Booking Details

    • Related Parties

    • Ports & Route

    • Shipment Reference IDs

    • Dates

  • Click the download icon to export the table in CSV format


Booking Creation

The booking creation process varies slightly depending on the parties involved. Refer to the user-specific article for a step-by-step guide:


Notifications

Enable notifications for bookings so you never miss an update on your active bookings.

This can be completed in a few simple steps:

  1. Go to the Settings page

  2. Navigate to the notifications tab from the sidebar

  3. Enable notifications for all bookings when the status changes:

    • New Booking Requested

    • Booking Approved

    • New Booking Options Requested

    • Booking Option Confirmed

    • On Hold

    • Resumed

    • Cancelled

    • Deleted

    • Cargo At Risk Of Missing Planned Departure

Notifications will apply to all bookings in the platform for users who have access to the organization linked to the booking.


Enabling Bookings

As bookings is a premium feature, it needs to be enabled by the support team. If you want to discuss bookings, please reach out to your CSM or Account Manager.


Bookings can be switched on for all customers, or select customers.


Booking Log History

With the Bookings Activity Log, you can keep track of all of the changes made to a specific booking. The log acts as a digital paper trail, containing the details, user name, date, and time of every change.


Uploading Bookings In Bulk

To place more than one booking at a time, use the Bulk Upload option by clicking the Bulk Create Bookings button. This will open a window with a space for you to upload your files in CSV, XLXS, or XLS format.

You can also download the booking_template.csv file for a blank sheet with prefilled fields. With this feature, you can upload a maximum of 25 bookings at a time.
