Understanding and configuring the "Limit Shipment Visibility" option

Overview

Logixboard provides shipment visibility to organizations involved in shipments, referred to as shipment-related parties. These include roles such as Pickup Party, Delivery Party, Shipper, Consignee, and Local Client. However, when multiple organizations onboarded to our platform are involved in the same shipment, visibility issues can arise. Specifically, one party might gain access to sensitive information intended for another. The "Limit Shipment Visibility" feature addresses this by restricting access based on the role an organization plays in a shipment, ensuring confidentiality.


Key Shipment-Related Parties

  1. Pickup Party: Organization responsible for collecting the shipment.

  2. Delivery Party: Organization responsible for delivering the shipment.

  3. Shipper: The organization sending the shipment.

  4. Consignee: The organization receiving the shipment.

  5. Local Client: An intermediary or local support entity involved in the shipment.


Visibility Problem Explained

Each shipment has a set of shipment-related parties. An onboarded organization may serve one or multiple roles for the same shipment. Additionally, an organization’s role can differ across shipments.

Examples of Role Variation:

  1. For Shipment SHIP001: Organization ORG001 is the Shipper and also the Local Client.

  2. For Shipment SHIP002: The same organization, ORG001, is the Delivery Party.

  3. For Shipment SHIP003: ORG001 serves only as the Shipper.

By default:

  • Any onboarded organization can search for, view, and access shipments where they are listed as a shipment-related party, irrespective of their role.

  • This unrestricted access can create confidentiality concerns if sensitive details are exposed to certain shipment related parties.


The Visibility Problem example

  • Shipment ID: SHIP001

    • Shipper: Organization SH101

    • Local Client: Organization LCL101

    • Consignee: Organization CON101

    • Pickup Party: Organization PUP101

    • Delivery Party: Organization DEL101

By default, all the orgs above can search for, view, and access details of Shipment SHIP001 because they are listed as a shipment-related party. However, this creates an issue if SHIP001 contains sensitive information that should not be visible to LCL101.


Solution: The "Limit Shipment Visibility" option

The "Limit Shipment Visibility" option allows you to restrict visibility for specific shipment-related roles. For example:

  • As a customer, you can request Shipments involving organizations in the Local Client role to be hidden from those organizations.

  • You can request Shipments involving organizations in the Pickup party as well as Delivery party role to be hidden from those organizations.

Restricting Visibility for a single shipment related party

  • If you have concerns about any of the shipment related parties (e.g., Local Client) organizations accessing certain shipments. You can request us to restrict visibility for the Local Client role.

  • Visibility restrictions are applied globally to all the organizations with Local Client role for this tenant.

  • Once configured, Organizations in the Local Client role (e.g., LCL101) can no longer search for, view, or access shipments where they are Local Clients.

  • However, if LCL101 is listed as Delivery Party for that same shipment, they retain visibility for that shipment.

Restricting Visibility for multiple shipment related parties

  • If you have concerns about more than one shipment related parties, for instance, the organizations are Pickup Party and Local Clients, you can still request restrictions for both roles.

  • Visibility restrictions are applied globally to the Pickup Party and Local Client roles for organizations of this tenant.

  • Once configured, Organizations in these roles (e.g., PUP202 and LCL202) cannot search for or access shipments where they are listed in these roles.


FAQs

  1. What does "Limit Shipment Visibility" restrict?
    It prevents specified shipment-related parties from searching for, viewing, or accessing shipments where they serve in the restricted role.

  2. If a Shipment is attached to an Order, will the Order be visible to restricted org?

    Orders will be visible to organization if they are the Buyer or Supplier.

  3. Can restrictions apply to specific shipments instead of roles?
    No. Restrictions are applied globally to roles across all shipments for the requesting tenant.

  4. What happens if a restricted party serves multiple roles?
    The restriction applies only to the specified role. Visibility for other roles remains intact.

  5. Can these settings be updated later?
    Yes. You can request changes to visibility restrictions at any time.
