Create a Booking from an Existing Shipment

Already moved freight on this route before? Don't start from scratch. You can pull details from any existing shipment and use them as the foundation for a new booking which saves you time reduces the risk of data entry errors.


How It Works

When you create a booking from an existing shipment, key details are automatically pulled into your new booking form, including:

  • Shipper

  • Consignee

  • Origin port

  • Destination port

  • Service Level

  • Primary mode

  • Incoterms

  • Goods description

  • Cargo gross weight

  • Volume

You'll still be able to review and adjust anything before submitting.


Steps

Step 1: Find your shipment Navigate to the shipment you want to use as the basis for your new booking and open the Detailed Shipment View.

Step 2: Click "Create Booking" You'll find this button within the shipment view. Click the three-ellipses icon to expose the drop down menu. Then click Create Booking.

Step 3: Review the dynamic booking form The form adapts based on your shipment's mode and type β€” so what you see will be specific to your situation:

  • Ocean FCL β€” shows Container Details (number of containers, container type)

  • Ocean LCL / Air Loose β€” shows Loose Cargo fields instead

  • Service Level options are drawn from your freight forwarder's CargoWise configuration and may vary

Work through each section top to bottom: Involved Parties, Route Plan, Cargo, Booking Details, Documents, and any Request Notes for your forwarder.

Step 4: Submit Click Submit to send your booking request. If your forwarder uses automatic approvals, it may be confirmed immediately. Otherwise it will appear as Pending until they review it.

To avoid double data entry, users can create a new booking using existing shipment information. Start by navigating to the detailed shipment view to copy the information for a new booking using the Create New Booking button.


❓ FAQs

What if some fields are blank after pre-filling? Not all shipments have every field populated in CargoWise. Anything missing will just show as blank β€” fill it in manually before submitting.

Can I edit the pre-filled details? Yes, everything is editable before you submit. The pre-fill is a starting point, not a lock.

Why do my Service Level options look different from a colleague's? Service levels reflect your organization's CargoWise setup and can vary across branches or teams.
